We are recruiting to fill the position below:

Job Title: Pharmacy Storekeeper

Location: Abuja (FCT)
Slot: 2

Main Purpose

  • Execute the pharmacy / medical warehouse storing activities in order to keep pharmacy stock above security level and following recommended conditions (temperature, humidity, etc.) under the supervision of the Pharmacy Supervisor, and in collaboration with the Supply / logistics team.

Job Description

  • Supervising material orders and dispatching in order to ensure rational use.
  • Receiving orders and deliveries, identifying potential disparities against cargo manifest or others and reporting them, and stores materials in accordance with the system in force, in order to ensure continuous availability. It includes:
  • Ensuring good storage conditions of all medical items in the pharmacy in accordance with pharmaceutical standards in order to ensure continuous availability.
  • Ensuring correct fill in entries on the stock cards and software.
  • Carrying out or participating in regular inventories including EPREP stock.
  • Following up stock levels with regards to alarms thresholds, stock out, expiry dates and drugs to expire in the following 6 months.
  • Preparing orders of the different consumption units (departments, wards, others), ensuring proper packaging and dispatching and reporting any anomalies or changes in consumption patterns to the Pharmacy Supervisor.
  • Informing Pharmacy Supervisor as soon as stock reaches alert limit.
  • Ensuring cleanliness of premises (stock pharmacy) and in close collaboration with the logistics department, maintaining refrigerating equipment.
  • Controlling warehouse limited access to authorized personnel and ensuring doors and other exits are secured.
  • Immediately informing the line manager of any problems arising in the course of the work, particularly with regards to damage, loss, attempted break-ins or theft in the warehouse.
  • Ensuring that items to be quarantined (on-going quality alerts) or to be placed in quarantine zone (batch recalls, expired or damaged items) are removed from the stock and safely locked.

Requirements

  • Education: Essential Secondary School Certificate. Desirable Diploma / Degree in medical related studies.
  • Experience: Essential previous experience of at least 2 years in similar or relevant positions.
  • Desirable previous experience in MSF or other NGOs in developing countries.
  • Language: Fluent in reading and writing English.
  • Competencies: Results and Quality Orientation, Behavioural Flexibility, teamwork and cooperation, team management, stress management and commitment to humanitarian objectives and to MSF Principles.
  • Knowledge: Essential computer literacy (word, excel and internet).

Remuneration
According to the MSF salary scale plus 13th month allowance equivalent to 1 month of gross salary.

Job Title: Pharmacy Supervisor

Location: Calabar, Cross River
Work Location: Calabar with frequent movement to the field (Akor, Old Ndebeji, etc)
Contract: Fixed-term contract and working hours according to Nigerian Law

Main Purpose

  • Ensuring general functioning of the pharmacy and supervising pharmacy supply chain processes in accordance with MSF standards, protocols and procedures, in order to ensure its efficiency and operating availability.

Job Description (Shortened)

  • Ensuring storage, stock management and supply processes, as well as hygiene and security procedures, tools, and protocols (controlling pests and rodents), implementing appropriate quality controls and records, in order to ensure good storage conditions (temperatures, humidity and light exposure) and availability of drugs and medical material, according to MSF protocols, national regulations and in cooperation with the logistics department.
  • Coordinating the delivery, reception and recording of international and local orders, in close coordination with the logistics department, updating stock files and informing line managers on their status (shortfalls, over-stocking, expiry dates), in order to permanently ensure security stock levels and ensure efficient management of stock.
  • Supervising orders of medical and drug material in order to ensure an efficient and appropriate consumption pattern under budget constraints.
  • Supervising the supply of drugs to patients, according to medical prescriptions, informing them on consumption patterns and keeping conditions in order to ensure their therapeutic progression
  • Ensuring efficient supply to other pharmacies managed/supported by MSF according to orders and stocks and using cold chain when needed. Monitoring and analysing orders of depending on pharmacies in order to avoid ruptures of stock or having expired drugs.
  • Supervising, with the HR department, the associated processes (sizing, staff shifts, recruitment, training, performance evaluation, development and internal/external communication) of the pharmaceutical team and the nursing staff, in order to ensure both the sizing and the amount of knowledge required and to improve their dispensing capabilities.
  • Recording all items received and issued in computer (Isystock) and reporting on drug consumptions and medical equipment dispensed according to protocols, informing on unusual patterns as well as forecasting future needs, in order to rationalise the budget and to ensure availability.
  • Assisting in training of nursing staff regarding dispensing of drugs and their side effects.

Requirements
Education:

  • Essential Degree in Pharmacy, valid License and Registration with Pharmacy Council of Nigeria, licensed as a pharmacist in Nigeria

Experience:

  • Minimum of 2 years work experience as a pharmacist with at least 1 year experience in a supervisory position.

Language:

  • Fluent in reading and writing English
  • Place of residence: Calabar

Competencies:

  • Flexibility, organizational skills, teamwork, team management, stress management and commitment to humanitarian objectives and to MSF Principles.

Knowledge:

Job Title: Finance and Accountancy Manager

Scope of Responsibilities and Accountabilities

  • Coordinating and supervising the accounting of the mission (accounting, treasury, audit procedures, etc.) according to the instructions of the Finance Coordinator, and in compliance with legal obligations and MSF standards and protocols in order to provide quality, reliable and transparent information to the organization on the use and allocation of resources in the mission
  • Being responsible for quality and timely accounting for the whole mission e.g. cash procedures, bank accounts, receipts and supporting documents, electronic data entry, consolidation of overall mission accounting, monthly closing process and documents, ensuring strict respect of deadlines and strict compliance to MSF guidelines, financial standards and procedures.
  • Coordinating and overseeing the monthly and yearly closing of accounts and balance sheet, and reporting the mission's accounting statement through monthly and weekly reports, in order to verify the evolution of project finances and provide information about them
  • Being responsible for the financial management of donor contracts e.g. preparing and verifying the financial reports to donors, following up and analysing the need for amendments. Ensuring reporting conditions are met and stakeholders in the mission are informed of their responsibilities (for example, logistics for stock inventory, quotes)
  • Coordinating and overseeing the payment of tax liabilities in order to comply with legal obligations.
  • Coordinating and supervising the conduct of local audits relating to accounting, tax, labour, stock and asset management
  • Planning and supervising, in close coordination with the HR department, the associated processes (recruitment, training/induction, evaluation, potential detection, development and communication) of the staff under his/her responsibility in order to ensure both the sizing and the amount of knowledge required and to improve people's capabilities
  • Is the technical reference for any accounting-related issue including compliance with MSF financial standards and procedures, legal compliance, training and support on the MSF accounting software / system
  • When required, briefing all staff involved, on specific accountancy management (Mission Coordination Team, Administration Managers, Logistics Managers, etc).

Minimum Requirements

  • Desirable University Degree in Accounting, Finance or Business Administration.
  • Essential 4 years previous experience in similar relevant position jobs
  • Essential solid accountancy training and experience-professional accounting qualification.

  • Report analysis of the Isystock to the Mission Pharmacist and Medical Coordinator by preparing a list of items to expire within 6 months, items in overstock, items in Sleeping/dormant stock, and all items in risk of shortage.
  • Supervise the storage of products with special requirements: cold chain articles and drugs under controlled use. Ensure it is managed according to MSF protocols.
  • Participate in the establishment of reports and annual review of Operation when required.
  • Be in touch with authorities and ensure the Medical Warehouse is promptly registered with the Pharmacists Council of Nigeria at the right time
  • Supervises, coaches, and trains pharmacy storekeepers under supervision
  • Performs any other duty assigned by the mission pharmacy manager or medical coordinator.

  • Education: Essential University Degree in Pharmacy (B.Pharm/Pharm D). Valid License with the Pharmacy Council of Nigeria.
  • Experience: Minimum 2 years work experience as a pharmacist with at least 1 year experience in a supervisory position.
